Event sign-up for clubs

Volunteer planning: share out shifts online

Set up the shifts as options and share the link. Volunteers sign up themselves, and you see which shift still needs people. Once a shift is full, it can no longer be chosen.

Free. Participants don’t need an account; a free account is all you need to create one.

How it works

Using the example “Club tournament 2027”: set-up 08:00–12:00, food stall 12:00–16:00, food stall 16:00–20:00, clear-up from 20:00.

  1. Create an event sign-up

Enter the title “Volunteers for the club tournament 2027”, add the location and create one option per shift: “Set-up 08:00–12:00”, “Food stall 12:00–16:00” and so on. Under “Max. seats” you set how many people a shift needs. To save, you need a free account.

  2. Ask for more if needed

You can attach questions for participants to each shift, for example “How many people are coming?” or a remark. Only people who choose that shift are asked.

  3. Share the link

Send the link by email, WhatsApp or in the club chat. Helpers enter their name and tick one or more shifts, without an account.

  4. Spot the gaps

When signing up, everyone sees “2 seats left” or “full”. In the results you see how many have signed up per shift, and in the list who they are. Once all shifts are covered, you close the sign-up.

Frequently asked questions

Do volunteers need to create an account?

No. Anyone signing up needs no account: enter a name, tick the shifts, submit. The email address is optional; those who give one receive a link to change their sign-up later. Only the person creating the volunteer sign-up needs a free account.

Can I limit the number of seats per shift?

Yes, for free. Enter under “Max. seats” how many people each shift needs. When signing up, people then see “2 seats left” or “full”, and anyone choosing a full shift joins the waiting list and moves up automatically when someone cancels. Anyone already signed up keeps their seat.

Can someone sign up for several shifts?

Yes. The shifts are options with tick boxes; people can choose one or several.

Can helpers see who has already signed up?

Yes. On the free plan everyone with the link sees the sign-ups so far, which makes it easier to coordinate. With Wannja Pro you can hide other people’s responses.

What does it cost to plan volunteer shifts?

Nothing. Event sign-ups with max. seats are free and ad-free. You only need Wannja Pro for CHF 7 per month or CHF 70 per year for personal invitations by email, automatic reminders, a response deadline, lists and groups, your logo and team members.
