Voting in your club

Voting for the general meeting and board elections – secret and with a voting register

A motion, an election, a straw poll before the general meeting: with the secret ballot, each invited member votes exactly once. You see who has already voted – as at the general meeting – but never how.

How it works

Using the example of a club with 45 members and a motion on the annual fee.

  1. A poll set to “Secret ballot”

Set up the question as “Yes / No / Abstain”, or for an election as a choice between the candidates. Settings: “Secret ballot (with list of participants)” and “Invited people only”, plus a response deadline. You tick a box to confirm that you know the limits.

  2. Invite the members

Select the list “Active members”. Each member with an email address gets their personal link; anyone without an address is named to you.

  3. Keep an eye on the voting register

You always see who has voted and on which day. You remind those still missing in one go – or automatically 5 days before the deadline.

  4. Results after closing

Once the deadline has passed, everyone has voted or you close the ballot, the results appear – from 3 votes. There are no interim results, not even for you.

Frequently asked questions

Is an online vote valid for our general meeting?

That is decided by your statutes and the applicable law, not by Wannja. Wannja is not certified e-voting and does not check who is voting. For binding decisions or decisions that could be challenged, vote on site or use a procedure with an identity check. Wannja is well suited to gauging opinion and to decisions where everyone accepts these limits.

Does the board see who voted how?

No. All that is stored is that someone has voted, with the date. The vote itself has no connection to the person. In very small groups or with unanimous results, however, a vote can be guessed – which is why we recommend the secret ballot from about 5 people.

What if someone forwards the invitation email?

Then the other person can vote in their place – Wannja does not check identity. The invitation email asks people not to pass it on.

Can we hold a secret ballot right there in the room?

The secret ballot needs personal invitations by email; there is no QR code for it. In the room, an anonymous QR code vote is possible – but there it cannot be guaranteed that each person votes only once.

Where can I read exactly what is stored?

On the “Secret ballot” page: what is stored and what is not, what the organiser sees and where the limits are.
