Answers to frequently asked questions

Quick start
What is Wannja.ch?

Wannja.ch is a free, ad-free tool for scheduling polls, event sign-ups, polls and calendars. You create a poll (a free account is all you need), share the link or a QR code and collect the responses – your participants don’t need an account.

Scheduling poll, sign-up or poll?
  • Scheduling poll: Participants vote on which dates suit them (like Doodle)
  • Event sign-up: Participants sign up and choose from predefined options (e.g. “vegetarian/meat”)
  • Poll: Participants answer one or more questions, for example via a QR code in the room – anonymously or as a secret ballot if you wish

You’ll find detailed guides to all three here: Guides and examples

Free vs. Pro

Scheduling polls, event sign-ups and polls (up to 5 questions, all question types, QR code and presentation), voting without an account, max. seats with a waiting list, location or video link, one public calendar, printing, Excel and CSV export and calendar file are free. Pro adds people in lists and groups, personal invitations and automatic reminders, the secret ballot and up to 15 questions, several and internal calendars, your own logo, colour and portal, team members and response deadlines for scheduling polls and sign-ups.

Compare Free and Pro
Participants don’t need to sign up: the link to the poll or event is all it takes, and they can vote or sign up right away. They enter their name when taking part.

At wannja.ch/meine-links, enter the email address you responded with — you will immediately receive your personal edit link again by email.

This requires that you entered an email address when voting. Without an email address, the device you responded on remembers your answer: open the poll link there again and choose “Change answer”. If that no longer works (different device, browser data deleted), contact the person who created the poll: they can remove your answer, and then you enter yours again.

  • Expiry date: After this date the poll is archived: the link no longer accepts responses and shows a notice. You can still see the results and reactivate the poll. You choose how long it stays valid when you create it (1 week to 6 months, with an account also “Unlimited”); with a response deadline, it runs until 14 days after the deadline instead.
  • Response deadline: Responses are possible up to and including this day; after that the page is read-only. 14 days after the deadline, the poll is archived. For scheduling polls and sign-ups the deadline is part of Pro; for polls it is free.

Yes, for free. When creating, enter a number under “Max. seats” for each date or option; leave it empty for no limit. Participants see “3 seats left” or “full”, and a full option can no longer be chosen – for sign-ups, people then join the waiting list and move up automatically as soon as a seat becomes free. In scheduling polls the Yes votes count; “Maybe” stays possible even when a date is full. Anyone who already has a seat keeps it.

In the field “Location or video link” when creating, for example “Club house, 5 Station Road” or a Teams or Zoom link. Participants see it when voting and in the emails; for scheduling polls it is also in the calendar file (.ics). This is free.

New or changed dates and options are marked “new” when voting, and anyone who has already answered sees a notice asking them to complete their answer. On the results page you see who is affected. When logged in, “Notify those affected” sends everyone with an email address their personal link. This is free.

Yes. On the results page you remove individual responses with “Remove response”. This is free and cannot be undone. The person is not notified; if they were invited, the invitation remains and they can answer again.

The third tool next to scheduling polls and sign-ups: you ask one or more questions (choice, either – or, yes/no/abstain, rating, image choice, ranking, recommendation/NPS, free text), share the link or show a QR code and see the result as bars. All question types are free, up to 5 questions per poll; with Pro up to 15 plus the secret ballot. Voting needs no account, with names or anonymously.

Step by step: Poll guide

You invite the eligible voters via lists, groups or individually; each person needs an email address. Each person gets a personal link and can vote exactly once. Wannja only records THAT someone has voted (with the date, without the time) and stores the vote with a random number, without any link to the person – nobody, not even you, sees who voted for what. The result only appears once the ballot has been closed (the deadline has passed, everyone has voted or you close it), and only from 3 votes. There are no interim results.

Limits: Wannja doesn’t check who is voting – anyone who has another person’s link can vote in their place. In very small groups or with unanimous results, votes can be guessed. The secret ballot is not certified e-voting and is not intended for legally binding or sensitive decisions.

All the details: Secret ballot – what it can and can’t do

Create a poll with “Anyone with the link” and open “QR code / presentation” on the admin page. The projector shows only the question, the answers and a large QR code with a short address; everyone votes on their phone, with no app and no account. You show the results with the R key or on the “Results slide”, which you can put into your presentation as the next slide. Anyone who votes via the QR code doesn’t see the results. This is free.

The presentation and the results slide have their own link that can only display – it cannot change or close the poll, so you can safely put it in your presentation file. Example: Live voting with a QR code

You decide this when you create the poll and can change it later: “Everyone, right away”, “Only after voting”, “Only after closing” or “Only me”. All four are free. As the organiser you always see the results – except with the secret ballot, where you only see them after closing. Anyone who votes via the QR code doesn’t see the results.

With “Anyone with the link”, Wannja curbs duplicate votes: the device remembers the vote. There is deliberately no limit per network, so a whole hall on the same Wi-Fi can vote. That doesn’t reliably prevent a second vote, though. Exactly one vote per person is possible with “Invited people only” (Pro): each person votes exactly once with their personal link.

With the calendar you publish fixed dates such as training sessions, parents’ evenings or the general meeting. Everyone sees them on a page of their own, you can embed the calendar on your website, and anyone who wants to can subscribe on their phone. A date can link to a sign-up.

  • Free: one public calendar
  • Pro: several calendars, internal calendars with a secret link or password, logo and accent colour; public calendars appear in your portal

Step by step: Calendar help

With “Visible from” you can set a start date from which the poll or event appears on your public portal. This lets you prepare polls and publish them automatically at a specific time.
If you set a response deadline and turn on “Automatic reminder”, invited people (including guests with an address) who haven’t responded yet get a reminder in the last 5 days before the deadline – no earlier than 2 days after the invitation and at most one per deadline. If you move the deadline, this starts again. This applies to scheduling polls, sign-ups and polls; anyone who only has the general link can’t be reminded. You can send a reminder by hand at any time on the results page.

With Pro you can invite participants from your participant management. Each one receives a personalised link. Benefits:

  • The name is already filled in and cannot be changed
  • You see who has responded and who hasn’t
  • You can remind individual participants
  • Automatic reminders can be enabled
  • Participants receive a confirmation email after voting

With Wannja Pro you can invite colleagues as team members. Each member gets their own login and can:

  • Create their own polls and events
  • Use the shared participant pool, lists and groups
  • Emails are automatically sent with the organisation’s branding (logo, name)

The admin stays in control: they can invite and remove members and see all of the team’s polls on the portal.

Team members don’t need their own Pro subscription – they use the admin’s Pro subscription.

With Pro you get your own portal URL (e.g. wannja.ch/your-company) listing all your active polls and events. If you have a public calendar with dates, a “Calendar” button takes visitors straight there. You can:

  • Embed this page in your intranet
  • Link to it from your website
  • Design it with your logo, organisation name and accent colour

The portal URL is set in the Pro settings. The portal can be public, protected by a password or reachable only via a secret link.

Yes. Under “Email templates” you customise these texts:

  • Scheduling poll: invitation, reminder, results
  • Sign-up: invitation, reminder, confirmation

Use placeholders such as %NAME%, %UMFRAGE%, %LINK%, %DEADLINE%, which are replaced automatically. Polls use the standard texts.

Lists are your contacts, e.g. “Class 3a”, “Board” or “Helper team” – that is where you add people, paste them from Excel or import them. Groups bring people together across lists, e.g. “Children’s choir” with children from several classes, or “Camp 2026”. A person can be on several lists and in several groups. When inviting, you can mix whole lists, groups and individual people – each person is invited only once.

Yes! You can also add participants without an email address in your participant management. These participants can then:

  • Be added to polls/events
  • Take part via the public link or printed lists

Important: Participants without an email address receive no invitations, reminders or confirmations by email.

You can also disable email delivery per participant (e.g. for data protection reasons), even if an email address is stored.

Status icons in the overview:

  • Email address present, sending allowed
  • No email address stored
  • Email address present, but sending disabled

Yes! You can paste participants directly (“Paste multiple”) or upload a CSV file (UTF-8 or Excel CSV). One person per line: name and, optionally, email address. Format:

Name;Email

Example:

Name;Email
Anna Smith;anna@example.com
Ben Keller;

Notes:

  • Columns separated by tab (copied straight from Excel), semicolon or comma
  • A header row such as “Name;Email” is recognised; first and last name in two columns are combined
  • Anything that looks like an email address is treated as the address – the order does not matter
  • Email can be left empty
  • Up to 500 people at once; before saving, a preview shows who is new, who already exists and which addresses are invalid
  • If you choose a list (or create a new one in the same step), the people are added to it directly

Yes, with Pro. When creating the poll, enable “Hide other people’s responses”. This applies permanently: participants only ever see their own response, never those of others. Only you as the organiser see the results.

Yes, with “Duplicate” on the results page or in the overview. Title, dates or options and settings are copied, responses and invitations are not. Check the dates before you save.

Yes. With “Participants’ email address required”, everyone who votes or signs up via the link has to enter an email address. Without this setting the address is optional.

Yes, as guests: enter a name and optionally an email address, when creating or later when editing. Guests with an address get their personal link by email; for guests without an address you receive the link to pass on. Guests are not added to your contacts.

No problem! Here’s how to reset your password:

  1. Go to the login page
  2. Click “Forgot your password?”
  3. Enter your email address
  4. You will receive a link by email (also check your spam folder)
  5. Click the link and set a new password

Note: For security reasons the link is only valid for 1 hour.

No. You can always log in with a code by email: on the login page choose “Log in with a code by email instead”, enter your email address, choose “Send code” and type in the 6-digit code from the email. The code is valid for 15 minutes and only once. A password is optional – you can set, change or remove it in your account at any time.

In just a few steps:

  1. Click Create a scheduling poll
  2. Enter a title and several date options
  3. Confirm your free account (an email address is enough)

You then receive two links: one to share with your participants and an admin link for you to see the results.

No. Your participants simply open the shared link, pick their dates and vote – no account needed. Optionally they can enter an email address to receive a confirmation with an edit link.

Yes. On the results page you download the best date as a calendar file (.ics) with one click – for Outlook, Apple Calendar or Google Calendar. When you confirm the final date, all participants with an email address automatically receive a calendar invitation.

After creating it you get a voting link that you can share by email, chat or directly via WhatsApp. Your participants only need this link – nothing else.

Yes. If you enter your email address when voting, you get a confirmation email with a personal edit link. You can use it to change or delete your vote while the poll is running. Without an email address, your device remembers your answer: open the link there again and you will see “Change answer” at the top. Exception: in anonymous and secret polls, your vote is final once you submit it.

Wannja Pro costs CHF 7 per month or CHF 70 per year (two months free) and offers people in lists and groups, personal invitations, automatic reminders, the secret ballot and up to 15 questions per poll, several calendars, your own logo and colour, email templates, a portal and up to five team members. The basic features remain free.

After the expiry date everything keeps working for 14 days. After that, your polls, sign-ups and calendars stay online and existing invitations keep working. You can still view, export and delete participants, lists, settings and templates, but no longer change them. The portal is no longer available, and anything you create from then on appears without your logo. If you renew, everything works as before again.

Wannja is the simple, ad-free Swiss alternative to Doodle. It focuses on three things:

  • Ad-free – even on the free plan, for you and your participants
  • Data protection – hosted on Microsoft Azure in the EU, no tracking, data protection under the Swiss FADP and the GDPR
  • Simple – get there fast, up to 200 date options per poll

You can find a detailed comparison on the Doodle alternative page.

Via the support form or by email to support@wannja.ch. You get a confirmation with a ticket number; to add something, simply reply to that email. We usually reply within 24 hours on working days.

If you only need your edit link again, it’s quicker without a request: at wannja.ch/meine-links.

Yes, for every type of poll, with all fields, examples and common mistakes: Overview of the guides. Participants have their own page on how to vote without an account and change their own response.
